HERSELF HEALTH Pty Ltd (ABN 57 632 565 925), trading as HERSELF HEALTH® (HERSELF HEALTH, we, us or our), respects your privacy and is committed to handling personal information carefully, transparently and securely.

 

This policy explains what information we may collect, why we collect it, how we use and disclose it, and the choices available to you when you use our website, enquire about or participate in our coaching, education, consulting or workplace wellbeing services.

1. Who we are and how to contact us

 

HERSELF HEALTH provides coaching, education, consulting and workplace wellbeing services. Our website is www.herselfhealth.com.

2. Coaching and education are separate from clinical medical care

 

HERSELF HEALTH coaching and education programs, including Energy for What Matters, are not medical consultations and do not establish a doctor–patient relationship. Information collected for an expression of interest, enrolment, coaching activity, program survey or educational session is not entered into your clinical medical record.

 

If you separately receive clinical medical care from Dr Masi Njawaya through Sydney Sports Medicine Centre, that care is managed through the clinic’s clinical systems, policies and procedures. Clinical records are stored separately in the Gentu practice-management system used by Sydney Sports Medicine Centre.

 

Our coaching and educational services do not replace personalised medical, psychological or other health advice. You should seek appropriate professional care for medical symptoms, urgent concerns or individual treatment decisions.

 
3. Personal information we may collect

 

The information we collect depends on how you interact with us and may include:

  • identity and contact details, such as your name, email address, telephone number, postcode or organisation

  • enquiry, expression-of-interest, application and enrolment information

  • your goals, preferences, availability, expectations and feedback about a program or service

  • limited information you choose to provide about your energy, wellbeing, lifestyle, work or personal circumstances

  • communications with us, including emails, form responses and support enquiries

  • attendance, participation and administrative information

  • billing and transaction information, such as invoice status and payment confirmation

  • marketing preferences and records of consent

  • technical and usage information described in section 9.

 

Please do not provide detailed medical histories, diagnostic reports or urgent health information through a website form, expression-of-interest form, survey or ordinary email. Contact an appropriate health professional or emergency service when clinical or urgent care is required.

 
4. Sensitive and health-related information

 

Some information about energy, fatigue, pain, sleep, mental wellbeing or health conditions may be sensitive or health-related information. We aim to collect only what is reasonably necessary for the relevant coaching, educational or administrative purpose. Where consent is required, we will seek it before collecting or using sensitive information.

 

Choosing not to answer an optional question will not automatically prevent you from making an enquiry. It may, however, limit our ability to assess whether a particular program is suitable for you.

 
5. How we collect information

 

We may collect information directly from you when you:

  • visit our website or submit a website form

  • complete a Google Form, questionnaire, survey or expression of interest

  • join our mailing list or download a resource

  • register, enrol or participate in a program, workshop or consultation

  • communicate with us by email, telephone, video meeting or social media

  • receive an invoice or make a payment.

 

We may also receive limited information from service providers that help us operate our business, or from a referring organisation where you have authorised that referral or where another lawful basis applies.

 
6. Why we use personal information

 

We may use personal information to:

  • respond to enquiries and assess expressions of interest

  • determine program suitability and administer accepted, declined or waitlisted applications

  • deliver and improve coaching, education, consulting and workplace wellbeing services

  • communicate session information, resources, reminders and support

  • process invoices, payments, refunds and accounting records

  • request and analyse feedback, including de-identified or aggregated program insights

  • manage our website, security, analytics, advertising and communications

  • send marketing communications where you have consented or where otherwise permitted

  • meet legal, insurance, professional and regulatory obligations

  • protect the safety, rights and legitimate interests of participants, HERSELF HEALTH and others.

 

We do not sell or rent personal information.

 
7. Program privacy and group participation

 

Expression-of-interest responses for Energy for What Matters will be reviewed by Dr Masi Njawaya. Technology providers may process or host the information as part of providing their services to us, but we do not give other participants access to your application or survey responses.

 

Live Energy for What Matters Zoom sessions will not be recorded by HERSELF HEALTH. Participants must not make their own audio, video, photographic or screen recording of a session without the express prior consent of HERSELF HEALTH and every person who may be captured.

 

In a group setting, other participants will hear or see what you voluntarily share. You may choose how much you disclose. We will establish confidentiality expectations, but we cannot provide an absolute guarantee that another participant will keep information confidential. Please share thoughtfully and avoid disclosing information you would not want another participant to know.

 
8. Service providers and disclosures

 

We may disclose personal information only as reasonably necessary to service providers that help us operate, including providers of:

  • website hosting, forms and cloud storage, including Wix and Google

  • email marketing and communications, including ActiveCampaign

  • video meetings, including Zoom

  • accounting and invoicing, including Xero

  • payment processing, including Stripe and bank-payment services

  • information technology, security, professional advice, insurance and business administration.

 

We may also disclose information where you consent, where required or authorised by law, to respond to a serious safety concern, or in connection with a business restructure or transfer subject to appropriate protections.

 

Payment card and bank authorisation details are processed by the relevant payment provider. HERSELF HEALTH generally receives transaction and payment-status information rather than complete card details.

 
9. Website analytics, cookies and advertising trackers

 

Our website may use cookies, pixels, tags, software development tools and similar technologies for essential website functions, security, analytics, performance measurement, personalisation, advertising and remarketing.

These technologies may include services provided by Google, such as Google Analytics, Google Ads, Google Tag Manager and remarketing tools; services provided by Meta, such as the Meta Pixel; and similar services that we may use from time to time. Their presence and configuration may change as our website and marketing systems change.

 

Depending on the technology and your settings, information collected may include IP address, device and browser information, approximate location, referring pages, pages viewed, links selected, form or advertisement interactions, timestamps, cookie identifiers and advertising identifiers. Advertising providers may use this information to measure campaigns or show relevant advertising on other websites and platforms.

 

You can manage or block cookies through your browser, device and advertising-platform settings. You may also use Google’s Ads Settings and Meta’s advertising preferences. Blocking some technologies may affect website functionality. Where required, we will seek consent before using non-essential technologies.

 

We do not intentionally send detailed medical information to advertising platforms. Please avoid entering sensitive or urgent medical information into general website, marketing or contact forms.

 
10. Direct marketing

 

We may send you newsletters, resources, program information or promotional communications where you have consented or where otherwise permitted. You may unsubscribe at any time by selecting the unsubscribe link in an email or contacting info@herselfhealth.com.

 

Unsubscribing from marketing does not prevent us from sending essential administrative communications about a service, invoice or program in which you are participating.

 
11. Overseas processing and storage

 

Some service providers may process or store information outside Australia, including in the United States and other countries in which they or their subcontractors operate. Overseas privacy protections may differ from Australian protections. We take reasonable steps appropriate to the circumstances when selecting and using service providers and remain mindful of our obligations concerning overseas disclosure.

 
12. Security

 

We take reasonable administrative, technical and physical steps to protect personal information from misuse, interference, loss, unauthorised access, modification and disclosure. These steps may include access controls, password protection, multi-factor authentication, reputable service providers and limiting access to people who need the information for an authorised purpose.

 

No internet transmission or storage system is completely secure. If you believe information connected with HERSELF HEALTH has been compromised, contact us promptly at info@herselfhealth.com.

 
13. Retention and deletion

 

We retain personal information only for as long as reasonably necessary for the purpose for which it was collected and to meet legal, accounting, insurance, dispute-resolution and legitimate business requirements. Retention periods may differ according to the type of information and service.

 

When information is no longer required, we take reasonable steps to delete it or de-identify it, subject to legal or operational requirements and backup cycles.

 
14. Access and correction

 

You may request access to personal information we hold about you or ask us to correct information that is inaccurate, out of date, incomplete, irrelevant or misleading. Contact info@herselfhealth.com. We may need to verify your identity and may decline or limit a request where permitted by law, in which case we will explain the basis where required.

 
15. Privacy questions and complaints

 

If you have a privacy question or complaint, contact info@herselfhealth.com and provide enough information for us to understand the issue. We will acknowledge and respond within a reasonable period.

 

If you are not satisfied with our response, you may be entitled to contact the Office of the Australian Information Commissioner at www.oaic.gov.au. Other state or territory privacy or health-complaints bodies may also have jurisdiction depending on the circumstances.

 
16. Third-party websites and social platforms

 

Our website and communications may link to third-party websites, applications or social platforms. Their privacy practices are governed by their own policies. We encourage you to review those policies before providing information.

 
17. Children

 

Our website and adult coaching programs are intended for people aged 18 years and over unless we expressly state otherwise and establish appropriate consent arrangements. We do not knowingly seek personal information from children through adult program forms.

 
18. Changes to this policy

 

We may update this policy when our services, technology, providers or legal obligations change. The current version will be published on our website with its effective date. Material changes may also be communicated directly where appropriate.
